The most important exercise a business can practice when maintaining call center performance is to measure everything.

By keeping track of every call, including the duration of the call, who answered the call, who transferred the call, and what type of call it was, businesses can stay on top of how their company time is being used. It is essential to keep a close watch on the individual phone agents and how they perform over the phone. Some agents may be wasting company time by making the right kind of calls, or by staying on the phone for too long.

Keep Track of the Staff Needed

There are a variety of ways in which a business can keep track of what kind of calls are being made in order to determine what type of staff, or how many staff members, are necessary at the call center. By measuring a combination of SLO percentage, time to answer, call volume, and call duration, businesses can spot the most efficient employees and perhaps downsize on the staff members that aren’t pushing for the kind of quality needed. 

Keep Training Up-to-Date

Staff members can only perform as well as they are taught to. It is the responsibility of the company to employ updated training procedures and education courses for all employees. Customer service representatives, also known as CSRs, are in need of regular and consistent training in order to meet financial goals and establish a great customer base. Experts suggest at least one or two days of training per quarter, with training updates needed several times a year. 

Maintain a Technologically Capable Facility

A call center can only function as well as its systems allow it to. Make sure that the call center is able to handle a large number of inbound or outbound calls. It is also essential to ensure that the call center can take a large amount of simultaneous calls as well, as staff members will constantly be on the phone with a number of clients per day. It is recommended to have a nice queue system as well, where customers can listen to relaxing music while on hold. 

Stay in Touch with Customers

The most important thing a call center can do to add a personal touch and achieve a high standard of quality is to make sure that staff members are staying in touch with customers. By keeping in contact after the call, whether through email or text, the customer will achieve a higher rate of satisfaction.
